Record label release tracker template in Notion: the Releases database with countdowns and distributors, and the release checklist dated from release day

Four linked databases

One page, four databases that know about each other. Open a release and you see its artist, its tracks and how far its checklist has come.

Releases
Status, type, release date, catalog number, UPC, distributor and pre-save link. Each release counts down to its date and shows its checklist progress.
Release checklist
Every step of a release, from split sheet to 30-day report. Due dates follow the release date, and late steps are flagged overdue.
Tracks
ISRC, featuring, producer, BPM, key, explicit flag, mix and master status, and whether the splits are signed.
Artists
Your roster, their deal type, contact and profiles, with every release they're on.

Every step, dated from release day

Each step carries its offset from release day. Move a release and its whole checklist moves with it. The template is in English.

Prefer a spreadsheet?

The same tracker as one CSV per tab. In a new Google Sheet, import each file with File → Import → Upload → Insert new sheet(s). The countdown and overdue formulas come with it.

Questions labels ask

Is the release tracker really free?

Yes. Duplicate it into your Notion workspace or download the Google Sheets files. No LabelBase account, no email, no trial.

Does it work on Notion's free plan?

Yes. It only uses databases, relations, rollups and formulas, which every Notion plan includes.

How do I add a new release?

Add the release with its date, then duplicate a sample release's checklist steps and set their Release to yours. Their due dates are computed from your release date.

Why deliver to the distributor five weeks before release?

Stores need time to ingest a release, and you can only pitch it to Spotify editorial once it shows up in Spotify for Artists. Delivering at D-35 lets you pitch at D-28, well ahead of Spotify's seven-day minimum, so curators have time to listen.

When should I move off a spreadsheet?

When several people work on releases, when artists need to send you assets, or when royalties have to be computed from the same catalog. That's what LabelBase does.
